WMIC Presenter Instructions

Please make sure your presentation is in 16:9 format.
As an oral presenter, you have two options for uploading your presentations:

Online Upload
You can upload your presentations on our online upload site before the conference. This site will be open September 10th-September 27th, and will allow you to skip uploading in person in the Speaker Ready Room. However, if you upload your presentation via our online system, you will still be able to preview and check your presentations in the Speaker Ready Room before your session, and we recommend that you do so.
You can upload your presentation through this link (https://warpspeedtech.com/wmic2025). Once on the site, please be sure to read through all of the instructions before uploading your presentation. You will upload your presentation under item 2 on the site. To upload, you will enter your name, email, talk number, and talk title. If you have any questions or problems with your upload, you can email me at awren@wmis.org or our AV company at jason@warpspeedtech.com.

In-Person Upload
You can also upload your presentations in person at the conference in our Speaker Ready Room (Room Tikahtnu E on the 3rd floor). Technicians will be available during the following times to assist you with upload:
-Sunday, September 28th- 3:00PM-5:00PM
-Monday, September 29th – 7:30AM-5:00PM
-Tuesday, September 30th – 7:30AM-5:00PM
-Wednesday, October 1st – 7:30AM-5:00PM

Please bring your presentation on a USB file to upload your presentation in the Speaker Ready Room at least two hours before your session begins.

Note* You will not be able to connect your personal laptop or USB in your session room to display your presentation. You must upload your presentation either on the online upload site or in the Speaker Ready Room.

Your video will play live at your session in Alaska during your assigned presentation time.

Online Video Upload
As a reminder, your video should be a maximum of 8 minutes long. You may record your video in Zoom, Loom, Powerpoint, or whichever way you are most comfortable; however, your video must be in MP4 format. You may also record through our abstract submission system, X-CD. If you would like instructions on how to do so, please reach out to me at awren@wmis.org.
Once you have recorded your video, you will upload your video to our presentation upload site- (https://warpspeedtech.com/wmic2025). This site is now open, and the deadline for submitting your video is September 22nd. Please note that this deadline is different than the normal presentation upload; this will give us time to check over the video and reach out if there are any issues.
You will also need to register virtually for the conference by September 22nd. If you have not registered virtually, we will not play the video in your session.
You will receive a link to be able to view our entire virtual conference before the meeting (we will send this out to all who have registered virtually).
Your video will play live during your session, and we will encourage the audience to message you through the conference app if they have any questions for you. You will be able to see their communication both in the app and in the virtual platform.

You will have exactly 3 minutes to pitch your work before you must exit the stage, and you will be limited to 3 slides. These should include a brief introduction, a summary of the results, and a discussion of the relevance of your findings. Please be sure to introduce yourself before your presentation as the moderators will not introduce you.

As a poster pitch presenter, you have two options for uploading your slides for your poster pitch, which are listed below.

Online Upload
You can upload your presentations on our online upload site before the conference. This site will be open September 10th-September 27th, and will allow you to skip uploading in person in the Speaker Ready Room. However, if you upload your presentation via our online system, you will still be able to preview and check your presentations in the Speaker Ready Room before your session, and we recommend that you do so.

Your poster select presentation will be one and a half minutes maximum, and you will have the chance to show one slide. All poster select presentations will take place on the plenary stage as it is connected to the exhibit and poster hall. There are a total of five poster select presentations for each poster session. The presentations will take place at the beginning of the poster session, so we ask that you gather at the stage at least 5 minutes before the start of your poster session. Our moderator will introduce you, at which point you will come on the stage to give your presentation. There will be no Q&A following your presentation as we want to encourage people to go to your poster to ask questions. After the five poster select presentations, please proceed to your poster and stand at your poster for the rest of the poster session.
There will be an award certificate given to the top presenter in each poster select session, and this award will be decided by the poster audience. The award winners will be announced during the Closing Ceremony on Friday, October 3rd from 3:00PM-4:10PM.
As you will be displaying a slide, you will need to upload the slide before the session either on our presentation upload site or in the speaker ready room at the conference center. Please see the directions below for presentation upload:

In-Person (Printed) Poster
As a reminder, your poster must be LIMITED to 42 inches width by 42 inches height (107 cm width by 107 cm height). You do not need to use the entire width and height; these are only the limits.
You may begin hanging your physical poster under your poster number (please check your email to verify your poster number) on Tuesday, September 30th at 12:00PM in the poster hall (Idlughet Exhibit Hall on the first floor). We ask that you hang your poster before the Opening Ceremony begins at 4:45PM and leave it up for the entirety of the conference.
Our last poster session is scheduled for Friday, October 3rd from 11:45AM-1:15PM. After this poster session, you will need to pick up your poster if you would like to take it back with you. Any posters that are not picked up by Closing Ceremony on October 3rd will be trashed. If your poster has already been taken off the poster board by our tear down team when you go to pick it up, you can find it rolled up against the back wall of the exhibit hall.

Virtual Poster
This year we will have a virtual poster hall where poster presenters can upload a digital copy of their posters for our online attendees, and we require that all poster presenters (including those who will also be presenting their poster in person) upload a digital copy of their poster. This will ensure that our online attendees will be able to view your poster along with our in-person attendees.

Your poster must be uploaded in a .pdf format. The ideal poster dimensions are 1920px by 1080px and in landscape format.

To upload your poster, please follow the below steps:
1) Log into your WMIS account. On the profile home page, click either “WMIC 2025 General Abstract Submission” or “WMIC 2025 Late Breaking Abstract Submission”
2) Scroll down to the bottom of the page, and you will see your abstracts listed.
3) Under your poster ID and title, click on the red “Poster Upload” button.
4) Click on the blue “Upload file” button and choose your file.
5) Do this for every poster presentation if you have multiple presentations

Please submit the digital posters by September 22nd, 2025.

This year we will have a virtual poster hall where poster presenters can upload a digital copy of their posters for our online and in-person attendees. These posters will be seen both on the virtual platform as well as the WMIC app.
In order to upload a virtual poster, you must have purchased a WMIC virtual registration. A few days before the meeting, we will check all virtual posters, and those who have not registered will have their posters removed from the virtual platform.

Your poster must be uploaded in a .pdf format. The ideal poster dimensions are 1920px by 1080px and in landscape format.

To upload your poster, please follow the below steps:
1) Log into your WMIS account. On the profile home page, click either “WMIC 2025 General Abstract Submission” or “WMIC 2025 Late Breaking Abstract Submission”

3) Under your poster ID and title, click on the small white “Poster Upload” button.
4) Click on the blue “Upload file” button and choose your file.

We will have a sign on your physical poster board at the conference  to encourage in-person attendees to view your poster, as well.

The WMIC Kick-Off Poster Session is scheduled for Monday, September 29th from 12:15PM-1:30PM and will take place in the third floor foyer (Tikahntu Foyer). After you pick up your lunch box, we ask that you stand in front of your poster for the rest of the session.
After the poster session, all attendees will return to Tikahntu A for additional sessions. However, there will be a reception held from 5:30PM-6:30PM in the Tikahtnu Foyer for all attendees, giving people time to look at your posters again. You are not required to stand in front of your poster during the reception; however, you are welcome to do so as people will most likely be walking around looking at the posters during this time.
You may begin hanging your poster at 9:00AM on Monday, September 29th in the Tikahtnu Foyer. Please check your email for your Kickoff Poster Number; you will hang your poster under this number. The first session of the Kick-Off will begin at 10:00AM.
After the reception is over at 6:30PM, you will take your poster down and take it back with you to your hotel. If you are participating in a poster session Tuesday-Friday of the conference, you will rehang your poster in the poster hall on the first floor under your regular poster number.
