Frequently Asked Questions
• Do I have to stay in an official hotel?

No, staying in an official WMIC hotel is optional. However, we strongly encourage attendees to book within the official hotel block to take advantage of the discounted conference rate, stay within walking distance of the meeting venue, and be among fellow WMIC attendees. Staying in the official hotels makes it easier to connect with colleagues, continue conversations beyond the sessions, and fully participate in early-morning and evening programming. Booking within the block also helps WMIS meet contractual obligations and support future meetings.

The discounted conference rate is available until the hotel booking deadline or until the room block sells out, whichever comes first. We recommend booking as early as possible, as availability is limited and rooms may sell out before the deadline.

The conference rate may show as unavailable if:

  • The room block has sold out for your selected dates

  • You are searching outside the official conference dates

  • The booking deadline has passed

If the block appears full, you may contact the hotel directly to ask about additional availability at the conference rate.

Yes. Reservations may be modified or canceled in accordance with the individual hotel’s cancellation policy, which is provided during the booking process and included in your confirmation email. For assistance, please contact the hotel directly using the details in your confirmation. If you do not see your confirmation email, be sure to check your spam or junk folder.

Room rates are subject to applicable local taxes and hotel fees, which vary by property and are not included in the listed nightly rate. Any additional fees will be clearly displayed during booking.
